We're looking for an organized, tech-savvy, and proactive professional with a proven track record in virtual project management. The ideal candidate is comfortable managing multiple priorities, aligning stakeholders, tracking progress toward goals, and ensuring successful execution of cross-functional projects.</p><p>This role is ideal for someone who thrives in a remote environment, communicates effectively, and takes ownership of moving teams from ideas to outcomes. Our work is guided by racial equity, intersectionality, and development without displacement.</p><h3><strong>About the Role</strong></h3><p>The Executive Assistant to the CEO serves as the operational backbone of Parity's strategic projects and organizational systems. You will build project timelines, track deliverables, manage cross-team communication, and ensure nothing falls through the cracks. The right person is detail-oriented, solutions-focused, and energized by helping teams turn vision into execution.</p><h3><br></h3><h3><strong>Key Responsibilities</strong></h3><p><strong>Cross-Team Coordination</strong></p><ul><li>Coordinate and document strategic meetings, identifying next steps and responsible parties.</li><li>Manage projects using ClickUp and maintain accountability across teams.</li><li>Track deliverables, dependencies, and timelines across multiple initiatives.</li><li>Proactively flag delays, identify solutions, and adjust schedules as needed.</li><li>Maintain a central project calendar to ensure visibility of all major deadlines.</li></ul><p><strong>Administrative Support</strong></p><ul><li>Maintain and optimize the CEO's calendar, prioritizing key meetings and deadlines.</li><li>Coordinate internal and external meetings across multiple time zones.</li><li>Send reminders, prepare meeting briefs, and manage scheduling conflicts.</li><li>Monitor and organize the executive's inbox, drafting and sending professional communications.</li><li>Filter and prioritize messages to keep focus on strategic initiatives.</li></ul><p><strong>Written and Internal Communications</strong></p><ul><li>Draft and edit polished, brand-aligned written content such as emails, newsletters, blog posts, and internal memos.</li><li>Create client-facing materials including announcements, templates, and onboarding documents.</li><li>Maintain SOPs, team handbooks, and process documentation.</li></ul><p><strong>Travel and Event Coordination</strong></p><ul><li>Plan and manage travel logistics, including flights, accommodations, and ground transportation.</li><li>Prepare detailed itineraries and oversee travel budgets.</li><li>Organize virtual or in-person events, conferences, and client meetings.</li></ul><p><strong>Systems and Process Management</strong></p><ul><li>Support implementation and optimization of communication and documentation tools.</li><li>Identify process improvements and lead automation initiatives.</li><li>Create internal reports and dashboards to track KPIs and organizational impact.</li><li>Support evaluation and reporting of grant deliverables and partner-funded projects.</li></ul><h3><strong>Qualifications</strong></h3><ul><li>Minimum 3 years of experience as an Executive Assistant supporting senior leadership or a CEO.</li><li>Background in mass communication, media, or content writing preferred.</li><li>At least 2 years of experience working remotely in the Eastern Time Zone.</li><li>Exceptional organizational, time management, and multitasking skills.</li><li>Excellent written and verbal communication abilities.</li><li>Proficiency with ClickUp, Microsoft Workspace, Zoom, and cloud-based file systems.</li><li>Strong initiative and independence in managing competing priorities.</li><li>Experience supporting virtual teams in a fully remote environment.</li></ul><h3><strong>Role Information</strong></h3><ul><li>Fully remote position</li><li>Approximate 50-hour work week</li><li>Schedule: 9:00 AM - 5:00 PM EST</li><li>Compensation: $1,500-$1,800 (salaried range, based on experience)</li></ul><h3><strong>Join Us</strong></h3><p>If you are a proactive problem-solver who loves creating structure, strengthening communication, and driving meaningful projects forward, we want to hear from you.
